Keeping good records will be essential to the police, trading standards or licensing officers come to check your store’s compliance.We recommend you to have a compay’s policy on preventing underage sales.You can keep records however is easier for you, it can be electronically or in a file at your workplace.
It is the best pactice to keep records of the trainings your staff undertake.This document should be kept seperately for each member of your staff, which records the date of induction training and the following refresher trainings. The record should be signed by your staff after every session.
Keeping the records of your refusals is very important to prevent underage sales. Every person who is selling restricted products should record each time a sale is being refused for failure to provide valit ID or suspission of a proxy sale. A refusals log book must me regularly reviewed and assessed the register for evidence of;
- Days and times when refusals appear to not be taking place.
- Staff members that appear to not be refusing (or recording refusals).
- If you notice anything unusual about the pattern of refusals recorded you should investigate to find the cause. This may involve checking CCTV, where available, for the time period or speaking to the members of staff involved. You should make a record of the investigation and any action taken to address the findings. Each time your refusal records are thoroughly checked by you or other management, this should also be recorded
